We have excellent sources for catering, so a group can virtually line-up any type of cuisine for their event from a posh sit down dinner, to a good old fashion country BBQ.  When you price out the cost of rental of rooms, venue and event costs, we believe you will find that Swan Mountain Ranch is not only a unique place to hold such an event; it is also very cost effective.  For specific pricing, we'll go through a list of available items for rent and services for hire and customize an event at a cost that fits your budget.

Planning Considerations:
Swan Mountain Ranch (SMR) Provides: As an event venue, SMR is designed primarily as an affordable destination to house out-of-town guests and to hold an event.  We are not a full service event provider, and the bulk of the event planning and services a group needs should be self provided or contracted with third parties. SMR would be glad to refer you to local providers of catering, entertainment, and food and beverage providers. Lodge and Cabin rooms are fully equipped with beds and/or bunks and include bedding and towels. No meals are provided unless specifically contracted for. Complimentary self-parking for all guests is available on premise. Usage of the Ranch for an event includes hosting the event on the grounds or if weather necessitated in the shop.  SMR has canopies, tables and chairs sufficient for 180 guests.  If additional seating, tables or canopies are required, these can be provided at additional cost per item per day.  Items that are not included in base venue and room rental are as follows:

  • Catering
  • Set-up or take down
  • Cleaning, including garbage disposal
  • Table cloths, settings, serving dishes and utensils, glassware
  • Decorations
  • Transportation to/from the ranch
  • Additional bathroom facilities
  • Entertainment
  • Audio Visual
  • Any of the services our affiliated company Swan Mountain Outfitters provides
SMR can provide certain other services and has additional items for rent. Please consult the enclosed price sheet for other services and items available, and notify us if you would like to add these items.

Guest Provides: Essentially, guests are required to provide all items listed above they desire that are not provided by SMR. Additionally, all of the guests are required to abide by the policies as set forth later in this document.

Arrival: Check-in is not available until 2:00 pm. If you need to arrive earlier, special arrangements must be made as we may still be cleaning from previous guests' stays.

Departure: You must plan to leave by 12:00 noon on your scheduled day of departure. This includes having all cleaning and garbage removal accomplished. Failure to be out by noon will trigger an additional night's charge for all facilities used.

Payment and Additional Information: A deposit of $1,000 is collected when you book, and this deposit is non-refundable. The balance is due upon arrival. SMR does not have control of the weather conditions, your personal emergencies or other unforeseen incidents. We recommend purchasing event insurance should you be concerned about conflicts or acts of nature resulting in the canceling of your event.

Terms and Conditions: Both SMR and the guests will obey all Montana and Federal laws, rules and regulations. It is the responsibility of the contracting guest for the behavior of attending guests. This includes the consumption of alcohol, and the responsibility of not allowing intoxicated guests to drive. Additionally, it is the responsibility of the contracting guest for the medical needs of attending guests. Remember you will be in an area where medical help is not easily accessible.

General Policies and Procedures: Contracting guests and attending guests agree to abide by the following policies and procedures of SMR:

  • Cleaning Deposit: SMR requires a $1,000 refundable cleaning deposit up front. Guests must clean up all areas utilized during their stay. This includes: washing any dishes used; piling all linens and towels so our housekeeper can launder; empty, bag and haul all garbage to the dump; remove all personal items of guests, including signs, flowers, decorations, etc.; take-down and storage of all canopies, tables and chairs utilized; remove all equipment of caterers, and other third party providers of services.
  • Garbage Removal: SMR will provide garbage cans and bins throughout the premise. Guest is responsible for the provision of garbage bags and the removal of all garbage to the Lake County Dump site located approximately four miles from the ranch. Any garbage left behind will result in forfeit of the guest cleaning deposit.
  • Additional Bathrooms: Guests acknowledge that SMR has available two bathrooms in the lodge, and two in the guest cabin. For larger parties, many groups consider contracting for portable bathrooms to be delivered to the ranch for the event. Should a guest desire this additional amenity, it will be at their expense. Please contact SMR for the name of an affordable provider of this service.
  • Deliveries & Storage: Deliveries will be limited to three days prior to the event. Shipped items should be addressed with the contracting guest name C/O Swan Mountain Ranch, 26356 Soup Creek Road, Swan Lake, MT, 59911. UPS is recommended as a more reliable shipper for this area. SMR is not responsible for items damaged during shipping, or items left after the event. SMR will not deliver packages or return items. COD items will be refused.
  • Music: SMR permits disc jockeys or live music until midnight. Guests must provide these services at their expense, and SMR does not provide any equipment or assistance to the third party providers of music or entertainment.
  • Supervision of Attending Guests, in Particular Children: Guests understand that there is a pond on the premise, and SMR does not provide lifeguards or any form of supervision of any guests, including children. Additionally, we are located in the forest, and are surrounded by land that if one explores, they could easily get hurt or lost. Finally, there are horses on the premise that are contained by electrical fences. Guests are not to touch the horses or to enter into the corralled areas.
  • Property Damage: As a guest, you are responsible for any damage to any part of the ranch during the period of time your attendees, independent contractors or other agents under your control or under the control of any independent contractor hired by you, are on the ranch premises.
